Data Record Administrator

Main Purpose of the Role
To administer a customer database and operate a customer front facing provision through the effective delivery of taught departmental programme administration and its associated record.

Work of the Role
To deliver operational routines and administrative processes ensuring accurate and timely Data / record management to support the effective and professional information provision whilst providing an effective and efficient service delivery to staff.

Main Duties
To deliver a applicant-focussed service that is consistently professional, welcoming, reliable, accessible and effective; including (but not exclusively) ensuring that applicant communication (including letters and transcripts) are produced/responded to in a timely and appropriate manner.

To support the administration of staff attendance and engagement routines; maintaining compliance records and escalating where necessary if risk to engagement is identified.

To take an active supporting role in the co-ordination and delivery of the company and Department led activities, such as marketing & recruitment events, Handbook production, induction and registration.

To provide staff with support and advice on the rules and regulations of the company, referring them to relevant support services when appropriate.

To support staff in internal resolutions, appeals and complaints; ensuring records are kept and maintained in a timely and appropriate manner.

To provide support for administration functions on a day-to-day basis including timetabling, induction, registration, transition and progression, supervisor allocation, assessment processes and final assessment processes in accordance with procedures.

Academic Administration

To maintain a sound knowledge of the range of company programmes, including module and assessment detail and ensure an understanding of how the Regulations impact on the delivery of programmes of study.

To co-ordinate assignment deadlines across multiple programmes; manage day to day routines, administration and effective moderation procedures.

To support the Senior Programmes Administrator/Manager

To support the process of gathering programme and module feedback from students at appropriate times of the year and producing relevant data.

To ensure transcripts and award letters are produced and sent out in a timely manner.

Resource Planning and Management

To develop good working relationships with colleagues across all departments, negotiating and influencing where necessary if processing is impacted by delays to decision making

To disseminate appropriate information received through a variety of mediums.

To meet regularly with Senior Programmes Administrators to communicate resource and work flow requirements in order to ensure the administration provision is maintained to an acceptable standard throughout the cycle

Data and Record Management

To be confident and conversant with the records system (SITS) ensuring that customer programme data entry and maintenance is accurate, timely and in accordance with relevant regulatory compliance.

To maintain accurate up to date records and high levels of operational knowledge across all aspects of the customers record in order to support the administrative processes across both the customer and programme lifecycle
